CRM development for SEO, content and link building teams

CRM development at Best Boost Partners is the building of an internal system for SEO, content and link building teams, where projects, sites, tasks, texts, links, contractors and money are kept in one place instead of a pile of spreadsheets. We describe your processes, write a specification, show a prototype of the screens, develop in stages and import the data from your existing spreadsheets. You receive the working system on your own server, the source code, the database, documentation and an administrator’s guide.

In brief

For whom
SEO, content and link building teams and agencies that have outgrown spreadsheets and need one system for projects, links and money.

Process description, specification, screen prototype, staged development on Laravel, data import from spreadsheets, team training.
What you receive
A working CRM on your server with the source code, the database, documentation and an administrator’s guide; the system belongs to you.
How to start
The spreadsheets you work in now, a description of who does what in the team, and one person who can answer questions about the process.

What does CRM development include?

CRM development consists of four parts. The core system comes first, and integrations, accounting and access rights are added to the core in stages.

  • Custom CRM

The core system: projects, domains, pages, tasks, texts, links, donors, contractors and payments with statuses, deadlines, history and search.

  • Integrations and API

Google Search Console, Google Analytics, rank trackers, link indexes, messengers, the CMS of your sites and accounting exports, plus the CRM’s own API.

  • Link and budget accounting

A register of every link with donor, anchor, price and status, scheduled checks that links are live and indexed, and budgets by project and month.

  • Roles and reports

Access rights by role and project, an audit log of every action, reports for the manager and for the client, and exports to files.

When does a team need its own CRM?

  • The link register, the content plan and the payment sheet live in different spreadsheets, and nobody is sure which copy is current.
  • A manager spends hours collecting a monthly report by hand from several files and a messenger history.
  • Links are paid for, but nobody checks later whether the links are still on the donor pages and whether those pages are in the index.
  • Contractors and clients need access to part of the data, and a shared spreadsheet shows them either everything or nothing.
  • A ready-made CRM has been tried, but its sales pipeline does not fit domains, pages, texts and links.

How does CRM development go, step by step?

  1. Describing processes and data

We talk to the people who do the work and look at the current spreadsheets. The result is a list of entities, statuses and roles: what is stored, how a record moves from one state to the next, and who sees what.

  2. Specification and prototype

The specification fixes the screens, fields, rights, integrations and the order of stages. A clickable prototype of the main screens lets your team try the logic before any code is written.

  3. Development in stages

We build the CRM on Laravel in stages, and each stage ends with a part of the system your team can open and use. Remarks on one stage are taken into the next, within the scope fixed in the contract.

  4. Data import

We map the columns of your spreadsheets to the fields of the CRM, remove duplicates and broken values, and load the data. After the import we check record counts and sums against the original files together with you.

  5. Launch and training

We deploy the CRM on your server, set up backups and user accounts, and train the team role by role. You receive the source code, the documentation and the administrator’s guide.

What do you receive at the end of CRM development?

  • A working CRM on your server, with your projects, sites, tasks, texts, links, contractors and payments already imported.
  • The full source code in a repository that belongs to you.
  • The database with a description of its schema: tables, fields, relations and statuses.
  • Technical documentation: how the system is installed, updated and backed up, and how the integrations are configured.
  • An administrator’s guide: how to add users, roles, projects, statuses and reference lists without a developer.
  • The specification and the screen prototype from which the system was built.

How do we build a CRM that the team trusts more than its spreadsheets?

  • The system follows the process

We describe how your team already works and build the CRM around those steps. A status or a field appears only when someone in the team needs it to do the job or to answer a question.

  • One record, one place

A link, a text or a payment is entered once and is then visible in the project, in the contractor’s card and in the report. Every change goes into the history with its author and time.

  • An honest view of the limits

A custom CRM takes longer to build than a ready-made service takes to connect, and the system needs a server and an administrator. A small team with a simple process may do well with a spreadsheet, and we say so after the brief.

Frequently asked questions

How much does CRM development cost?

The price of CRM development is named after the brief and a look at your current spreadsheets and processes. The price depends on the number of entities and roles, the list of integrations and the amount of data to import. The work is fixed in a contract with a set scope and is divided into stages.

Why not take a ready-made CRM or stay with spreadsheets?

A ready-made CRM is built around a sales pipeline of leads and deals, while the work of an SEO team revolves around domains, pages, texts, links and donors. Spreadsheets cope with this data until several people edit them at once and until rights, history and reports are needed. From that point a CRM of your own is justified, and before it we will say plainly that spreadsheets are still enough.

Who owns the CRM and the data after the project?

The CRM belongs to you. The system runs on your server, and you receive the source code, the database, the documentation and the administrator’s guide. A developer who knows Laravel can maintain and extend the code using the documentation.

What happens to the data in our current spreadsheets?

The data from your current spreadsheets is moved into the CRM as a separate stage of the work. We map columns to fields, remove duplicates, bring dates, statuses and prices to one format and show you the records that could not be matched. After the import the record counts and sums in the CRM are compared with the original files.

Can the CRM be changed after launch?

Yes, the CRM can be changed after launch. Your administrator edits statuses, reference lists, users and roles in the interface. New entities, screens and integrations require development, and that work is agreed as a separate scope under a contract.
